Exciting Changes from Our Procurement Team – Making purchasing easier! 

Our refreshed Procurement Team is rolling out fantastic improvements to make purchasing works, goods, and services at council smoother and more efficient. Over the next few months, you’ll see changes designed to simplify processes, reduce delays, and improve your purchasing experience. If you buy for council, you’ll also have access to training to help you get up to speed with these updates.   

Here’s what’s coming:

• Faster PO Amendments 

No more unnecessary approvals for minor Purchase Order (PO) changes! Previously, even a simple update, like a delivery date change, needed re-approval from a financial delegate. Now, any non-financial PO changes can be self-approved by the person making the update. This will speed things up and make PO management much easier. Of course, financial changes will still require delegate approval.   

• Simplified PO Requisitions 

In just a few weeks, the ‘Quotations’ function in Technology One will no longer be required before raising a PO Requisition—even for non-prequalified suppliers. Instead, all PO Requisitions will be created directly from the ‘Requisitions’ tab. If multiple quotes are required (e.g., for POs over $15K with non-prequalified suppliers), simply attach the quote evidence to your requisition. The Procurement Team will check it over and send it to your nominated approver once everything looks good. Easy!   

• New Financial Sub-Delegations 

Recent updates to financial sub-delegations in Building Services and Environmental Health will allow approvals to be processed faster at the appropriate authority level. Plus, a Financial Delegations Register will soon be available on the Procurement page of the Intranet, so you can quickly find financial delegates at TSIRC and their approval limits.   

• Revamped Procurement Procedures & Intranet Hub  

We’re making procurement procedures clearer, more user-friendly, and easily accessible. With step-by-step guidance and training, you’ll always know what to do, how to do it, and where to find the tools and templates you need. Everything will be housed in a centralised hub on the TSIRC Intranet—your one-stop shop for all things purchasing and contracting.   

• Streamlined Supplier Onboarding 

To make the supplier onboarding process quicker and more efficient, the Procurement Team will soon be assisting the Creditors Team. If you need to add a new supplier to Technology One, simply submit one request form to Procurement, and we’ll take care of the rest. Plus, we’ll help you find existing suppliers to speed up your purchasing process.
